TRAVELER RISK + RESPONSIBILITY
Assumption of Risk. I agree that my participation in the Retreat is voluntary and carries with it certain inherent dangers and risks that can’t be eliminated regardless of the amount of care taken, including personal bodily injury, including permanent disability or death, and property damage. I understand such risks I may encounter include, but aren’t limited to airplane crashes; car, van, bus, boat, ferry, pedestrian or other transportation-related accidents; exposure to illness including COVID-19; and international or domestic terrorist incidents, including bombings, and I agree to assume such risks.
Staged4more acts only as an intermediary for the various independent suppliers that provide lodging, meals, transportation, sightseeing, activities or other goods and services connected with your retreat (“Supplier” or “Suppliers”). You acknowledge that you are aware and clearly understand that these Suppliers are independent contractors, are not managed by Staged4more, and are not agents or employees of Staged4more. A Supplier’s services are subject to the Supplier’s own terms and conditions and the local laws and regulations of the relevant country.
Travelers further agree that they will indemnify and hold Staged4more harmless in respect of any claims arising in connection with the trip made by: i) third parties, which arise from the misconduct of the travelers; ii) the traveler’s family members, dependants or heirs, iii) third parties, which the traveler, their estate, their family members, dependants or heirs have sued, if damages are recovered from such third parties, to the extent the third party obtains any indemnification from Staged4more; except where the loss, injury, death or damage is caused by the reckless or fraudulent conduct on the part of Staged4more, or their employees, guides, shareholders, officers or directors.
Recreational Activities. I understand that when engaging in recreational activities, tours, travel, sports or any other activities during the Retreat that Staged4more assumes no responsibility for my safety or any liability for costs that I may incur, and that I participate in these activities at my own risk.
PAYMENTS
Payments to Staged4more must be paid in full to secure your spot on the retreat.
CANCELLATIONS BY YOU AND REFUNDS
To cancel your attendance, you must email your complete booking details and purpose of cancellation to support (at) staged4more (dot) com.
Cancellation fees will be applied per person according to the schedule set forth in this section, based on the date we receive your written notification, not when you send the email.
For the cancellation fee schedule, please refer to the retreat information /sign up page.
Departure date is the date the retreat begins regardless of the date that you may depart from your location of origin. No refunds will be provided for any reason for unused portion of a retreat once the retreat begins, including if you leave a retreat for any reason or have to be removed from a retreat. The retreat price is a package cost and refunds are not available for services not used.
If you are unable to attend your retreat, you can find a replacement participant to take your place. It is your responsibility to update Staged4more such changes. It is up to you to arrange the change and financial details with the new participant, Staged4more is not responsible for any registration payments lost due to the change.
There are no exceptions to this cancellation and refund policy, including for reasons related to weather, terrorism, civil strife, pandemics, personal, family or medical emergencies or any other circumstances beyond our control. For this and other reasons, we encourage you to purchase trip cancellation and interruption insurance and travel protection (i.e., travel medical insurance and emergency evacuation services). You should consider “no fault” cancellation and discuss this with your insurance provider.
CANCELLATIONS, CHANGES + POSTPONEMENTS BY STAGED4MORE
Staged4more reserves the right to cancel the retreat due to low enrollment. We recommend that you either purchase refundable plane tickets or wait until we have confirmed with you approximately 2 months prior to the retreat that we have a minimum number of Participants. You should consider “no fault” cancellation and discuss this with your insurance provider.
I agree Staged4more reserves the right to cancel the Retreat due to low enrollment or other circumstances which would make the event non-viable. If Staged4more cancels the Retreat, I will be given a full refund. I also understand that Staged4more reserves the right to change, substitute or abandon the posted Retreat itinerary, hotels or means of transportation for any reason at any time because of emergency, changed conditions or Staged4more’s determination that such changes or substitutions are in the best interest of Retreat participants, but such changes will not qualify me for a refund.
Staged4more reserves the right to refuse, block or cancel a retreat at any time, for any reason, at its sole discretion. When your retreat is canceled, then you agree that a full refund of retreat payments made to us will constitute full settlement of any claims you may have against Staged4more or our suppliers, partners, or travel intermediaries.
In the rare event that Staged4more is forced to postpone a retreat for any unforeseen circumstance beyond the reasonable control of Staged4more, such as, but not limited to, acts of nature, war, labor strikes, pandemics, earthquake, flooding, etc., Staged4more will bank 100% of your paid fees as a credit to use for another retreat. You will have the option to travel on your rescheduled retreat date or transfer 100% of your booking amount to travel on another Staged4more retreat.
In some but not all cases and depending on how close to your retreat Staged4more may have to reduce credit due to advanced payment to suppliers. We will use reasonable efforts to recover advanced payment and refund the balance when possible. However, Staged4more does not guarantee recovery of any or all of the advance payments made, and the use of reasonable efforts to recover these payments will not include the institution of legal proceedings in foreign jurisdictions.
Staged4more reserves the right to cancel any workshop/retreat at any time for any reason, including if there are too few participants, or if the quality of the retreat or the safety of travelers is judged by Staged4more in our sole discretion to be compromised. In such cases, a refund of payment received by Staged4more shall constitute a full and final settlement. Staged4more is not responsible for any loss incurred on account of non-refundable or non-transferable air OR travel tickets.
Please note all refunds take a minimum of 14 days to process.
Travel insurance is highly recommended.
Please read the terms and conditions for attending our retreats thoroughly before you register.
FORCE MAJEURE
Staged4more will not be deemed in breach of this agreement or otherwise liable to you, by reason of delay in performance or nonperformance of any of its obligations under this agreement to the extent that any such delay or nonperformance is due to any Force Majeure.
“Force Majeure” means any circumstances beyond the reasonable control of Staged4more, including without limitation acts of God, terrorist activities, insurrection, explosion, flood, tempest, forceful wind, fire or accident, war or threat of war declared or undeclared, sabotage, civil disturbance, labor strikes, requisition, sickness, quarantine, government intervention, weather conditions, and unforeseen circumstances.
TRAVEL INSURANCE
Travel Insurance. Because life is unexpected, sometimes trips need to be canceled or travelers need to return home sooner than expected. Travel insurance helps to protect against losses I may incur as a result of a change in my travel plans. I acknowledge that Staged4more suggested I obtain travel insurance to cover certain risks inherent in travel, such as supplier bankruptcy, trip interruption or the inability to travel due to a medical or personal emergency. I’m aware that all travel expenses will be subject to the loss of all of the fare, or require the expense of additional money if I elect to change dates or cancel reservations. I agree that Staged4more is not responsible for any injury, damage or loss I may incur if I decline travel insurance.
You acknowledge that travel insurance coverage is not included in the cost of retreat offered by Staged4more and you are required to obtain separate coverage at an additional cost.
We highly recommend you obtain current and adequate travel insurance prior to your travel.
Travel insurance should cover personal injury, medical treatment, repatriation, and evacuation expenses, including helicopter rescue and air ambulance internationally. It is recommended that travel insurance also address personal property and trip cancellation coverage.
Trip cancellation insurance may be the only means of receiving reimbursement for flights and other non-refundable expenses should an Staged4more retreat be cancelled for any reason, whether voluntarily by you or as a result of Staged4more.’s actions.
You are responsible for understanding the specifics of your travel insurance policy, ensuring that your policy covers all optional and included activities listed in the trip itinerary, and ensuring that there are no exclusion clauses (e.g., air delays due to mechanical issues) that would limit the coverage that you might reasonably need.
If you have current health insurance coverage, check your insurance policy to see if it provides the coverage described above while traveling outside your country. It is your responsibility to verify your insurance policy details with your insurance provider. You also agree to assume all costs of medical care, evacuation, transportation, and related costs.
PRE-DEPARTURE DOCUMENTATION
It is important that you carefully read any retreat-related documents that you receive from us by email as soon as you receive them.
It is your responsibility to contact us if any information is incorrect. We cannot accept any liability if you do not notify us of any inaccuracies within thirty (30) days of your receipt of those documents.
TRIP START DATE
It is your responsibility to be ready to embark on the retreat as specified in the itinerary. Staged4more is not responsible for any losses due to canceled or missed flights, changed flight itineraries, late arrivals, or early departures.
CHANGES
Changes made by Staged4more:
Staged4more may modify your itinerary where reasonably required in its sole discretion. If Staged4more makes a change affecting at least one of the full days of the itinerary or which materially affects the character of a product or service in its entirety, Staged4more will provide notice to you as soon as reasonably possible, provided that there is sufficient time to do so before departure.
PASSPORTS AND VISAS
You are responsible for ensuring that all necessary travel documents are valid and effective and in your possession for the entire retreat.
Valid passports are required for travel to most destinations. Please check with the appropriate consulate or embassy for the latest entry requirements. You assume complete and full responsibility for, and hereby release Staged4more from any duty of, checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety or security conditions at such destinations.
Any information provided to you is merely provided as a courtesy and it is your sole responsibility to ensure you have met all travel requirements for each destination in your itinerary. Staged4more is not responsible for delays, changes, or cancellation costs due to incorrect, incomplete or expired traveler documents.
In the event that you must cancel, delay or reschedule your retreat due to expired or missing travel documentation, you are responsible for all associated costs to rectify the situation. If you are unable to join your retreat, you will not be reimbursed or refunded any amounts as per the cancellation terms of Staged4more.
HEALTH REQUIREMENTS AND MEDICAL CARE
Some parts of the retreat may be physically active, with varying levels of demands and fitness requirements depending on the specific itinerary. By making a booking, you represent that you do not have any physical or other conditions that would create a hazard for you or other Participants or affect other people’s enjoyment of the retreat.
We reserve the right in our sole discretion to accept, decline, or remove anyone from a retreat (at departure or during the retreat) who we judge to be incapable of meeting the trip’s physical demands.
In the event any medical care is administered to you during the trip, Staged4more assumes no responsibility for any such medical care provided to you. You are solely responsible for any and all costs of medical care and related transportation, if any, that are provided to you during the trip.
Staged4more does not tolerate drug use of any kind during our trips and strongly encourages responsible alcohol consumption. This policy is in place for your safety and those traveling with you.
Staged4more reserves the right, at your sole expense, to deny participation in an activity or in the remainder of any trip itinerary if you illegally use drugs, alcohol or other banned substances during a retreat.
We want you to have fun and encourage you to take advantage of the local culture, but Staged4more emphasizes your safety as a top priority.
COVID DISCLAIMER (Last updated March 5th, 2023)
While we strive to deliver all aspects of the included itinerary and specific accommodation, due to challenges some vendors may be facing, certain aspects of your Staged4more retreat may be changed according to the situation beyond our control.
In the small chance this does occur, we will work to offer comparable accommodations and/or activities when possible. Thank you for your understanding.
Individuals will be responsible for ensuring they are able to travel to the destination selected.
Countries have various Covid-19 related entry requirements including but not limited to: providing proof you are fully vaccinated, taking a test before entry and after entry etc.
You should be prepared to meet all necessary entry requirements. This may also include wearing masks in all public settings.
In accordance with current COVID guidelines in Italy, proof of vaccination is not required for attendees of our retreats. However, please note that if the COVID guidelines in Italy change, it will be the responsibility of participants to manage any entry requirements.
Staged4more is not responsible for any additional costs related to changes in COVID policies in Italy, and we cannot be held responsible if a participant is unable to attend the retreat due to changes in COVID policies.
For your reference, we’ve included a link to the COVID travel guidelines from the Ministry of Health of Italy: https://www.salute.gov.it/portale/nuovocoronavirus/dettaglioContenutiNuovoCoronavirus.jsp?lingua=english&id=5412&area=nuovoCoronavirus&menu=vuoto. If you are a US citizen, here is the advisory from the US Embassy: https://it.usembassy.gov/covid-19-information/.
We want you to have a safe and enjoyable experience during the retreat, and your health and well-being are important to us.
As we will be in a small group setting, we kindly ask that you keep a close eye on your own health and monitor for any symptoms. In the event that you experience any symptoms during the retreat, please let us know immediately.
We also ask that if you are experiencing symptoms of COVID-19 during the retreat, for the safety of everyone else in the group, please stay in your accommodations and do not participate in any group activities.
In the event that you are unable to participate in any group activities due to COVID-19 symptoms, we will work with you to make up any missed teaching portions of the retreat, to the best of our ability.
If COVID-19 policies in Italy change during the retreat, certain aspects of the retreat may be modified according to the situation beyond our control. In the rare event this occurs, we will work to offer comparable activities when possible. Thank you for your understanding.
You will be responsible for ensuring you are able to travel to Italy and meet all necessary entry requirements, which may include wearing masks in all public settings. Staged4more will not refund any lost trip funds if you are unable to meet the requirements provided by Staged4more or Italy.
If you are concerned about trip cancellation coverage due to COVID-19, we recommend purchasing or upgrading your travel insurance to a “cancel for any reason” plan.
While we will adhere to local COVID guidelines at the retreat, we cannot guarantee that the Participants will not be exposed to COVID. The Participants assume the risk and understand that they may be exposed to COVID as a result of traveling.
